Seamless, From Ideation to Activation
Our turn-key servicing begins at Ideation and continues to Event Day, saving clients time and money along the way. We ask that clients incorporate us in Ideation so that we may help you design an event that fits within standard office footprint locations, and that buildings will want to host and tenants will want to attend.
Here are the steps in the Process:
1. Initial Consultation
We learn about your program’s goals and requirements, and discuss how we will select office buildings that provide access to your target audience. We’ll guide on event formats, incentives and integrated marketing that will best engage professionals, and cover our venue sourcing and venue management services once a project moves forward. Finally, we’ll tell you more about our Product Survey & Analytics platform that’s available as an add-on service.
2. Sample Locations & Budget Proposal
We provide slides detailing the specs of sample office buildings that meet both the audience and logistic requirements of your Live Activation or Workplace Product Sample Delivery, so clients see what our buildings provide in terms of audience, traffic, footprint location and available integrated marketing. We also provide a budget proposal at this time.
3. Venue Sourcing
Once you formally decide to implement office buildings into your program, our team prepares a comprehensive event overview containing the exact details needed by busy office building operators, and disseminate it to our established contacts at each qualified building to get approval of the event or product sample delivery.
4. Location Proposal
When a building approves to host, we confirm with the operator that it currently meets the program requirements, and provide you with pertinent location details for your approval prior to contracting.
5. Contracting & Payment
We can prepare just one license agreement for all buildings you visit, which saves your account and legal teams an immeasurable amount of time and paperwork. Invoices come directly from us, and we bundle approved buildings into as few invoices as possible, to keep your accounting streamlined as well.
6. Venue Management
We provide complete coordination of the event or product sample delivery with each building and compile event or drop/delivery logistics into an online spreadsheet that your team can access at any time – drastically reducing our email communication. If anything about the event changes – i.e. you need a 2nd electrical outlet or a date change – we will handle it with all buildings. Clients quickly appreciate having one point of contact for multiple venues.
7. Integrated Marketing
During coordination, we will supply the specs of each buildings’ integrated marketing platforms, and then manage the placement and dissemination of the final assets. Your team just supplies the assets.
8. Event Day!
Your team will be fully prepared to show up at each building for activation, with little more than a check-in needed. Our team sends a reminder notification to the building operator/companies the day before, to ensure they are ready. You are also given an on-site contact to interface with in case of any urgent needs. Time for a successful event!
